Board Meeting Minutes

Date: April 21, 2024

 
Board Members: Steve Beckman (Secretary), Nella Davis-Ray (Communications), John Hays, Matthew Kazmierski (President), Gail Lytle Lira, Denise Moore, Pat Poli (Communications), Alice Schehr (Treasurer), Mark Warner

Call to order: Matt Kazmierski called to order this meeting of the Brookfield Heritage Neighborhood Association Executive Committee at 4:11pm ET on April 21st, 2024 in a meeting at 136 Oakland and available online via Zoom.

Roll Call:

● Steve Beckman (Secretary), Nella Davis-Ray (Communications), John Hays, Matthew Kazmierski(President), Gail Lytle Lira, Denise Moore (remote), Alice Schehr (Treasurer), Mark Warner (remote)

● Absent: Pat Poli (Communications)

● Others in attendance: None

● Quorum present: Yes

Approval of Past Minutes: A motion was made and seconded to approve the minutes from the Board meeting held on January 28th, 2024 as presented. The motion carried without objection.

Treasurer Updates:

1. Alice provided a report that stated the association’s current account balance is $2,419.31

Old Business:

1. 2024 Neighborhood Garden Tour

a. Planning to hold the event on Saturday June 29th. Start time to be determined.

b. Social Committee members will discuss the event details over the course of the next week to determine if an additional neighborhood social event will be added that day. If one is, thedetails will be added to the upcoming newsletter.

i. It would be preferred to charge admission or ask for donations at the event instead of spending BHNA funds

 

2. Neighborhood covenants modification and renewal

a. John submitted 72 notarized renewal forms to the Ingham County Register of Deeds on March15th, they were accepted and approved, and the BHNA covenants have officially been renewed until 2049

b. Need to continue to try and find a location to store official BHNA physical documents. Matt will contact previous BHNA president Jeff Johnson to determine if he has any documents.

3. BHNA website transition to https://www.eastlansingneighborhoods.com/

a. Matt met with Carrie Sampson from the City of East Lansing regarding the Civic Plus hosting platform but has not been granted sufficient access to add or modify BHNA content

i. Need to determine what an expected response time would be for potential support questions

ii. Concerns about the privacy or legal availability of the data we would store on it

b. Matt applied for BHNA to have Google Workplace for Nonprofits in order to transition emailand other online services to a free platform, but was denied due to BHNA not being a 501(c)(3)non-profit organization

4. Tree maintenance

a. Matt reached out to Pat Robinson via phone and email regarding the formation of an Environment Committee and has not received a response. He will continue to attempt tocontact her to invite her to participate on the committee.

b. The tree on the northern corner of Hagadorn and Roseland will soon be removed by the City

c. A tree near the corner of Hagadorn and Grand River has been dead for several years and should be removed, but might not be on the area of the property that is the City’s responsibility

i. Matt will contact the City regarding the tree

New Business

 1. Newsletter

a. Nella has drafted a newsletter for potential distribution in the upcoming weeks

i. Board members reviewed and approved the draft, but advised to wait to print and distribute it until after the Social Committee has determined the details of the upcoming Garden Walk and the potential social event on the same day

2. Safety report

a. Steve Whelan reported that the neighborhood crime report has had very few incidents over the last several years, but with the improving weather it becomes more important for neighbors tokeep their vehicles and homes locked at night

b. Concerns were expressed regarding traffic in the neighborhood during upcoming road construction on Hagadorn

i. Additional construction and closures on local highways has caused increased traffic onHagadorn, which may cause even more additional traffic in the neighborhood. Members discussed ideas for how to potentially reduce traffic speeds.
